| |
Q: What payment methods can I use? A: You may pay by VISA, MasterCard, Discover or American Express. No other payment types are available via the online system.
Q: What if I want to pay by check, or use credit from my club's account? A: You must submit the paperwork to WHQ via mail or fax.
Q: How many members do I need? A: You will need to pay for at least six members in the first transaction.
Q: Can I come back and pay for other members later? A: Yes, once the first transaction is complete you can return and pay for additional members at any time.
Q: Can we submit new members online? A: Yes. Please do not add new members if you
have already sent their dues and/or membership application in via mail or fax.
If your new member joined in September, they need to pay the semi-annual dues just like any other member of your club. Their name will not appear on the renewal form, and you need to write them in or add them in on line when they have paid you. If your new member has joined in October, do not add them to the semi-annual renewal notice.
Q: Is my credit card charged immediately? A: Yes, the charge is completed during the renewal transaction. If you have incorrectly entered the
number or expiration date, or if there is another problem with the card, you will not be able to complete the transaction.

Here are some helpful hints:

|
|
|
~ Submit dues by one method only. ~ Please do not send duplicates. For example, if you submit dues online, DO NOT mail a copy. Or, if you fax in the renewal, please do not mail another copy to WHQ.
~ If your club is paying by check, you must submit your renewal by mail. The renewal is not considered here until the invoice and check are at WHQ. Faxing a copy of the dues renewal invoice and a copy of the check does
not fulfill the submission requirements.
~ Do not e-mail your renewal to WHQ. Credit card information is not secure via e-mail. Online, FAX and mail submissions are secure. DO NOT submit your dues renewal invoice/list of members and payment separately. Include your complete payment information and list together. Because we receive almost 10,000 submissions, we have difficultly matching payments and lists submitted separately, which in turn delays the processing of the renewal.
~ Only submit dues for members who have paid your club. ~ Dues are non-transferable and non-refundable, so you want to be sure the club has the money in hand before sending payment to WHQ.
~ Sign up for a debit card for your club account at your bank & use this to pay your dues with online. ~ As soon as six members have paid (checks have cleared the bank), submit your dues. This will earn you the treasurers Distinguished Club Program Point
~ Enter other members on line as you receive their payments
~ Don't wait until October. Aim to have dues collected & submitted your dues by mid September. ~ Keep a copy of the invoice for your records.
~ Clubs should submit all payments at one time, so we encourage you to collect and submit dues for all renewing members. However, dues for late-paying members can be submitted to WHQ after the initial submission. ~ An easy way to submit late-paying members is to circle the names of the members paying late on a copy of the original invoice and submit the marked invoice along with the payment for dues. Or the club can submit a completed membership application form, marking the circle next to the words "renewing." ~ Clubs can also submit late-paying members in letter form.
If you haven't already collected dues...start doing so now!
